Events Coordinator

Part-time position in Chicago, Coordination nationally


Job Purpose

This is a position of an Events Coordinator who will help plan and manage all community events and partnerships for Khalil Center nationally.

This role requires a self-motivated, independent individual who has basic familiarity with mental health and Islamic concepts and theology.

Duties & Responsibilities 

  • Manage meetings and speaking engagements related to community outreach and partnership building

  • Managing and initiating contracts with community agencies.

  • Working with accounting and HR to provide invoicing to host agencies for agreed upon rates

  • Negotiating fees between KC and community institutions.

  • Working with the marketing and development departments to plan strategic events to advance the mission of the organization.

  • Planning fundraising events or banquets for KC supporters, stakeholders and donors.

  • Operations related to outreach work, i.e. Ensuring fulfillment of commitments to our partners, building new partnerships, etc.

    • Eliciting feedback and checking in intermittently with key contracted partnerships or sites where KC is hosted.

  • Initiating outreach efforts to various Masajid or community organizations to market/bring awareness to Khalil Center and its services.  

  • Coordination of meetings, seminars, workshops and conferences that pertain to outreach efforts. 

  • Ensuring documentation of data and beneficiaries served at events, ensuring staff compliance with event management protocols, ex. KC branding is visible, collection of pictures from events, social media/website marketing of the events, posting events on staff calendars.

  • Following up with agencies to gather feedback on events conducted and advancing relationships with partner agencies.

Qualifications and Skills 

  • Bachelors in organization management, human resources, social work or psychology

  • Proficiency in MS Word, MS Excel and MS Outlook a must

  • Familiarity with Islamic theology, customs, rituals and rules 

  • Excellent written and verbal communication skills

  • Ability to plan, prioritize and organize multiple staff and diverse projects

  • Excellent time management skills

  • Punctual, with attention to detail 

  • 2 years office or project management experience preferred

  • Social media/marketing management and training

Working Conditions 

NOTE: This position requires a degree of flexibility on the part of the Employee who may be directed by the Clinical Director toward managing the needs of the organization. Therefore, the duties may not be limited to the below description. 

  • 5 hrs/day over 4 days/week, professional office setting, relaxed business casual attire (culturally attuned to Islamic work context)

  • Works predominantly out of Lombard, IL office 

  • Routinely uses standard office equipment such as computers, phones, photocopiers & filing cabinets

  • Driving to community partners

Salary

  • $20-25/hr

  • No benefits offered due to part-time nature of the position

  • This position may grow into a full-time job based upon performance and success within the position.
